Maintenance logbook in co-ownership

The maintenance logbook is an indispensable tool in co-ownership. It allows for planning and monitoring the necessary work in the building. According to article 1039 of the Civil Code of Quebec, the mission of the syndicate is to ensure the preservation of the building, its maintenance, and the administration of the common portions. Bill 16 has strengthened this mission by making this document mandatory. Since the coming into force of article 1070.2 of the Civil Code of Quebec on August 14, 2025, each syndicate must or will have to adopt a maintenance logbook that complies with legal requirements.

A collective memory of the building

The maintenance logbook represents the collective memory of the building. It brings together the history of work carried out, technical specifications, maintenance contracts, and warranties. It provides directors, who are often replaced, with clear and continuous information about the state of the building.

A planning and legal compliance tool

It is also a planning tool. Thanks to this system, the board of directors can ensure rigorous monitoring of maintenance work and major repairs that need to be carried out. By offering a detailed overview of the building’s components and their lifespan, the maintenance logbook constitutes the very foundation of the contingency fund study. It thus enables preventive and responsible management of the co-ownership.

Finally, the maintenance logbook is subject to precise legal requirements: it must be prepared by an authorized professional, updated annually, and periodically reviewed. Transitional measures have been provided for existing syndicates, while developers are required to deliver the logbook to the syndicate within 30 days following the special transitional meeting.
